We are currently seeking a highly skilled, detail-oriented, and proactive Administrative Associate to play a pivotal and indispensable role in supporting the Foundation’s mission. This critical position will expertly oversee the day-to-day operations of the Foundation’s administrative functions, ensuring exceptional organizational efficiency, managing office systems, and fostering a highly productive and positive environment for our dedicated team.

As the Administrative Associate you will be instrumental in streamlining processes, maintaining operational excellence, and contributing to the overall long-term success and sustainability of the Foundation.

Salary: $65,000 - $80,000

About the Role

The Administrative Associate ensures seamless day-to-day operations, oversees the Foundation’s technology systems, and provides critical support for senior leadership initiatives. This position offers a unique opportunity to contribute meaningfully to preserving New Orleans' cultural legacy during a transformative phase in the Foundation's history.

Key Areas of Responsibility

  • Office Operations & Technology Management (45%): Maintain an efficient, organized office environment, oversee technology systems, and liaise with external IT vendors to ensure optimal functionality.
  • Senior Leadership Team (SLT) Support (40%): Collaborate with the Executive Assistant to manage calendars, coordinate SLT projects, and facilitate alignment across departments.
  • Executive Office Initiatives (15%): Assist with high-priority projects, events, and cross-departmental efforts that advance the Foundation’s mission.

*Flexibility is essential, as workload distribution may vary with the Foundation's seasonal events and programs.

Primary Responsibilities

Office Operations & Technology Management

  • Ensure office spaces are organized, professional, and equipped to support Foundation activities.
  • Collaborate with the facilities team to address workspace needs and maintenance.
  • Serve as the onsite coordinator for IT support and technology-related projects.
  • Manage office equipment and oversee staff onboarding and training for office systems.
  • Partner with IT vendors to address evolving organizational needs.

Senior Leadership Team (SLT) Support

  • Assist with scheduling, planning, and coordinating SLT meetings and retreats.
  • Prepare agendas, reports, and presentations to support strategic initiatives.
  • Monitor and track SLT deliverables, fostering cross-departmental communication.

Executive Office Initiatives

  • Support executive-led events and high-priority projects, ensuring alignment with organizational standards.
  • Contribute to initiatives that enhance the Foundation’s mission and impact.
  • Other duties as assigned.

Qualifications

Skills and Experience

  • Proven experience in office management, technology coordination, or administrative support, ideally in a nonprofit or cultural organization.
  • Strong organizational skills and the ability to manage competing priorities.
  • Proficiency in Microsoft Office Suite and project management tools.
  • Experience managing vendor relationships and budgets.
  • Excellent written and verbal communication skills.

Produced in partnership with Festival Productions Inc., Jazz Fest is accompanied by other year-round festivals and performances focused on supporting local artists and cultural traditions. The Foundation retains full ownership of all Jazz Fest-related copyrights, trademarks, and licenses, ensuring its sustainable future.

Education is central to the Foundation’s mission. The Don 'Moose' Jamison Heritage School of Music, housed at the George and Joyce Wein Jazz & Heritage Center, offers free music education to youth, along with other initiatives such as vocal workshops, beginner music programs, and professional audio training.

The Jazz & Heritage Archive preserves and perpetuates Louisiana’s music, culture, and heritage as the institutional repository for the Foundation and WWOZ 90.7 FM. Housing physical and digital records since the Foundation’s inception, it supports award-winning media projects and collaborates with national archives and museums.

Founded in 1980 and owned by the Foundation, WWOZ 90.7-FM connects local and international audiences to New Orleans and Louisiana culture through live broadcasts and streaming of Foundation events. WWOZ’s mission is to be the worldwide voice and flag-bearer of New Orleans’ culture and musical heritage.

The Foundation also plays a key role in grant-making, ensuring the support of musicians, educators, cultural producers, and entrepreneurs by investing proceeds from the New Orleans Jazz & Heritage Festival presented by Shell directly into the community with grants to fund projects that support the Foundation’s mission.
