We are seeking an accomplished and highly organized Executive Assistant to the CEO & Board Liaison to play a pivotal role in supporting the Foundation’s mission. In this critical position, you will collaborate directly with the CEO and Board of Directors, ensuring the efficient coordination of executive priorities and governance processes.

Position Title: Executive Assistant to the CEO & Board Liaison [012025]

Status: Full-Time, Exempt
Reports To: Chief Executive Officer
Department: Executive Office
Salary: $65,000 - $75,000

Position Overview

The Executive Assistant to the CEO & Board Liaison plays a pivotal role in supporting the CEO and Board of Directors in advancing the mission and vision of the New Orleans Jazz & Heritage Foundation. As a primary administrative partner to the CEO, this individual ensures smooth day-to-day operations and serves as a key liaison to the Board, managing meeting logistics and governance processes.

This role demands a proactive, detail-oriented professional with exceptional organizational, communication, and interpersonal skills. Flexibility to work evenings, weekends, and limited travel is required to support the Foundation’s diverse events and initiatives.






Primary Responsibilities

Board Liaison Duties

  • Schedule, plan, and execute all Board and committee meetings, including drafting agendas and recording minutes.
  • Maintain governance records, including bylaws, resolutions, and meeting archives, and ensure the annual deposit of records and materials into the J&H Archive in accordance with the established records schedule.
  • Serve as a trusted liaison between the Board, CEO, and staff, ensuring effective communication.
  • Plan logistics for Board retreats and special events to ensure a professional experience.

Executive Support

  • Coordinate and maintain the CEO’s complex schedule, including meetings, appointments, and events.
  • Plan and manage travel logistics, including transportation, accommodations, and itineraries.
  • Draft, proofread, and edit correspondence on behalf of the CEO.
  • Prepare agendas, reports, and presentation materials for meetings; attend and document key action items.
  • Track and prioritize the CEO’s tasks to ensure timely completion.
  • Other duties as assigned.

Leadership Support

  • Act as a communication hub between the CEO, Senior Leadership Team, staff, and external partners.
  • Collaborate on cross-departmental projects, ensuring deadlines and deliverables are met.
  • Assist with special initiatives involving the CEO.

Administrative Operations

  • Oversee office supplies, vendor contracts, and daily operational needs for the CEO.
  • Manage the CEO’s expense reports and track Board-related budgets in collaboration with Finance.
  • Coordinate technical needs with the Administrative & Office Operations Manager to ensure efficiency.

The Foundation retains full ownership of all Jazz Fest-related copyrights, trademarks, and licenses, ensuring its sustainable future.

Education is central to the Foundation’s mission. The Don 'Moose' Jamison Heritage School of Music, housed at the George and Joyce Wein Jazz & Heritage Center, offers free music education to youth, along with other initiatives such as vocal workshops, beginner music programs, and professional audio training.

The Jazz & Heritage Archive preserves and perpetuates Louisiana’s music, culture, and heritage as the institutional repository for the Foundation and WWOZ 90.7 FM. Housing physical and digital records since the Foundation’s inception, it supports award-winning media projects and collaborates with national archives and museums.

Founded in 1980 and owned by the Foundation, WWOZ 90.7-FM connects local and international audiences to New Orleans and Louisiana culture through live broadcasts and streaming of Foundation events. WWOZ’s mission is to be the worldwide voice and flag-bearer of New Orleans’ culture and musical heritage.

The Foundation also plays a key role in grant-making, ensuring the support of musicians, educators, cultural producers, and entrepreneurs by investing proceeds from the New Orleans Jazz & Heritage Festival presented by Shell directly into the community with grants to fund projects that support the Foundation’s mission.
